Before you begin
Open the Procedure on your work order. The form attached to that work decides which questions you see and when answers are required. Read instructions before answering, and record what you actually observed.
Step by step
- Read the heading and instructions for the section you are completing.
- Enter or choose each answer offered to you. Use the units, choices and limits shown with the question.
- For a checklist, review each item rather than marking everything complete at once.
- Save your answers and read any message about missing or invalid information.
- Return to the work order and follow its next action when the procedure is ready.
Common questions
| Kind of question | How to answer |
|---|---|
| Short text / long text | Write a useful brief answer or a fuller observation. |
| Number / money / duration | Use the units and limits shown; do not guess an amount you have not measured. |
| Yes or no | Choose the answer that matches what happened. |
| Single choice / multiple choice | Choose one or more of the listed options as the question allows. |
| Pass, flag or fail | Record the result and explain a flag or failure when asked. Use Not applicable only when offered. |
| Inspection / task checklist | Review each item and add required notes. |
| Acknowledgement | Confirm only after reading the statement. |
| Date / date and time | Choose the actual date and time for the question. |
| Email / phone / website | Enter the relevant contact detail or web address. |
| Person / team | Choose the responsible person or team offered by your organization. |
| Location / asset / part | Choose the record that matches the work. |
| Photo / file / signature | Use a capture or upload control only when one is offered. If unavailable, ask your supervisor how to record the evidence. |
| Meter reading | Check the meter, unit and reading before saving. |
| Repeating group | Complete each repeated set of questions for the relevant item. |
| Calculated value | Read the result; change the source answers only if they are wrong. |
| Instruction / heading / divider | Read the guidance; these organize the form rather than ask for an answer. |
Need a hand?
Do not enter made-up answers to get past a required step. Tell your supervisor if a question cannot be answered or the capture control is unavailable. Publishing a new procedure does not silently replace the version already attached to your work.
