YOUR INFORMATION. YOUR WORK.

Privacy notice

Version 1 · Effective 16 October 2026

The essentials

Task IQ is a work-management service provided by Quantum Strategies Inc., Saskatoon, Saskatchewan, Canada. We use account details to give you access, protect your account and deliver service messages. Your organization decides what work information belongs in its workspace and who should see it. Optional product updates and optional AI assistance are separate choices.

Adeel Salman, the product owner, is responsible for privacy enquiries at Quantum Strategies Inc. Email privacy@quantumstrategies.ca or use Contact Task IQ, choose Question and begin your message with “Privacy request”. You do not need an account. Include a reply address, but never send passwords, verification links or private work records through the form.

Information we handle

  • Account information: your name, email address, optional phone number, sign-in and verification state, organization memberships, roles and security settings. Passwords are protected rather than stored as readable text.
  • Work information: requests, assignments, schedules, forms, comments, attachments, assets, approvals, time entries and reports that you or your organization add or generate. These can identify colleagues or other people if you include their details.
  • Service and security information: session and delivery records, access and change history, consent versions and choices, and information needed to investigate failures or abuse. Connection information helps limit abusive requests.
  • Enquiries: your name, reply email, optional organization and role, selected interest, message and permission to respond. Please provide only what we need to answer.

Why we use it

We use this information to create and verify accounts, invite people, recover access, organize and record work, apply access choices, generate reports, answer enquiries and protect the service. Security and change records help investigate incidents and maintain a reliable history. We do not sell personal information or use work content for advertising.

Required account and work processing is part of providing the service. Product updates start unchecked and are optional. You can decline them without losing access. Contact us to change that choice or withdraw optional consent; a message may also offer its own unsubscribe option. Necessary verification, recovery and security messages are separate from marketing.

Your organization and other people

Your organization is responsible for its authority to collect and use workspace information, its instructions to us, its access settings and any notices it owes its staff or other individuals. Organization administrators and people with the appropriate access can see relevant work. A department administrator has the access delegated to that department.

We handle workspace content to provide the service for your organization. For access, correction or removal of an organizational record, start with its administrator; you may also contact us. We will explain who can act on the request. Authorized support personnel may need access to investigate an issue. Support access is controlled and recorded.

Service providers and international processing

Our hosted service uses DigitalOcean infrastructure. Hosting location alone does not mean every service or recipient is in Canada. Organization-specific hosting arrangements should be confirmed with us before placing information subject to a location restriction in Task IQ.

When transactional delivery is enabled, Resend processes the recipient address and message content for verification, invitations, recovery and security notices. Resend stores service data in the United States. Do not include work records in an email address or organization name. Email may also pass through your own mail provider.

Ariel is optional. It requires your organization's enablement and a configured provider. Where Anthropic is configured, the request and the work context selected for that request are sent to Anthropic to produce a response. This may involve processing outside Canada under the provider's applicable terms. Do not submit secrets or unnecessary personal information. Ask your administrator about the enabled provider and permitted information before using AI. Task IQ does not require AI to perform ordinary work.

Providers receive information needed for their service. We remain responsible for our handling of personal information and evaluate the arrangements for those services. We may also disclose information when required by law or to address unlawful activity, protect people or exercise legal rights.

Cookies and your browser

Necessary cookies keep you signed in and protect requests from misuse. Each tab keeps its selected organization context in tab-specific browser storage. Your browser also remembers identifiers for up to ten recently opened work items for each account and organization, without storing their contents in that recent-items list. Display preferences are saved with your account. These are used for the service, not advertising. The public site does not add advertising or analytics trackers. Blocking necessary cookies can prevent sign-in or saving work. Closing a tab clears its tab-specific context; it does not itself sign you out. Use Sign out, especially on a shared device.

Keeping and removing information

We keep information for the service purpose and applicable legal, security and recordkeeping needs. Your organization determines appropriate retention for its work records and should communicate that to its people. We do not promise one retention period for every record or immediate erasure of shared work history when an account closes.

Ask us about account closure, deletion or the retention applicable to your information. We assess the record, the organization's instructions and any legal hold. Information no longer needed is deleted or de-identified, subject to lawful retention requirements. Backups and protected records may remain until their applicable retention or hold ends. We explain relevant limits when responding. Downloaded reports and files are separate copies: the recipient must protect and dispose of them appropriately.

Your choices, requests and complaints

You may ask what personal information we hold about you, how it has been used or disclosed, and request access or correction. Contact Adeel Salman at privacy@quantumstrategies.ca or through Contact Task IQ with “Privacy request”. We may verify your identity proportionately before releasing or changing information. We will explain any legal restriction, unresolved disagreement or reason we cannot fulfil a request, and the available next steps. Withdrawing consent can affect services that need that information; we will explain the consequence rather than treating optional marketing consent as a condition of access.

Tell us if you believe information has been mishandled. You may also contact the appropriate privacy regulator, including the Office of the Privacy Commissioner of Canada. Making a complaint does not require you to give up other rights.

Protection and changes

We use access controls, protected sessions and recorded security actions to reduce misuse. No online service can remove every risk: an incorrect invitation, excessive access or an exported file can expose information. Use your own account, follow your organization's instructions and report a suspected incident through Support or Contact Task IQ.

We identify each notice by version and effective date and keep the accepted version with account-registration evidence. Material changes to purposes, sharing or required choices will be brought to your attention, with renewed consent where appropriate. A later version does not silently rewrite what you previously accepted.
